Privacy Policy
My Virtual Planner is operated by Ideal Brides (“we,” “us,” or “our”). This Privacy Policy explains how we handle information when you visit myvirtualplanner.app, use a venue’s virtual planner, create an account, or connect Google services.
1. Information we collect
- Account information: your name, email address, sign-in information, account role, and associated venue. If you choose Google sign-in, our authentication provider processes the profile information Google shares with your permission, such as your name, email address, and profile image.
- Planning information: messages, conversation history, contact details you provide, wedding dates, guest counts, budget preferences, package interests, tour requests, and feedback.
- Venue content: venue details, pricing, packages, photos, documents, uploaded transcripts, knowledge-base entries, booking records, and settings submitted by venue teams.
- Technical information: browser and device information, IP addresses and request logs processed by our hosting services, errors, activity records, and information stored in cookies or browser storage to operate the service.
Please do not submit payment-card numbers, government identifiers, health information, or other sensitive information in planner conversations or uploaded documents.
2. Google Calendar access and use
Connecting Google Calendar is optional. When you authorize a connection, My Virtual Planner uses Google’s authorization process through Base44. We do not receive your Google password. Authorization tokens are handled by the connector infrastructure to access Google on your behalf.
We retrieve the calendar list, including calendar identifiers, names, and descriptions, so you can choose a calendar. When you request synchronization, we retrieve events from that selected calendar for a window beginning today and extending approximately three years ahead. Google’s event response may include event details such as start and end times, titles, descriptions, locations, organizers, and attendees. The synchronization feature uses the event identifier, title, and start date or time to create booking records; it is not designed to store the full event response.
We store the selected calendar identifier with the venue, and store event identifiers, event titles (which may include couple names), and derived booking dates in the app’s database. We also keep connection and synchronization status, timestamps, user and venue identifiers, and diagnostic information. The current Google Calendar integration reads calendar information; it does not create, edit, or delete events in your Google Calendar.
Imported records support the venue calendar, booking management, and availability answers. Venue team members use booking information in their workspace. Availability results derived from bookings may be shown to prospective couples and included in AI prompts to answer their date questions. Choose a calendar intended for venue bookings, and avoid including unrelated personal events.
3. How we use information
We use information to operate accounts and venue workspaces; answer planning questions; provide availability, package and budget information; arrange requested tours and planner follow-up; send requested quotes and service communications; process venue documents; maintain venue-specific knowledge; troubleshoot problems; protect the service; and respond to requests and legal obligations.
4. AI processing and service providers
My Virtual Planner uses AI to generate answers and process venue content. Relevant messages, conversation context, venue knowledge, uploaded content, and availability results may be sent to AI providers to deliver these features. AI-generated answers can be inaccurate; confirm important details with the venue.
Service providers process information needed for hosting, authentication, storage, integrations, communications, and AI features. These include Base44, Anthropic for generated replies, and AI services accessed through Base44. Depending on the feature and venue configuration, HighLevel/LeadConnector processes contact details, planner handoffs, quotes, tour appointments, and related communications; ClickUp may receive information for requested operational follow-up. These providers process information under their applicable service arrangements and privacy terms.
Information you submit to a venue’s planner is shared with that venue so its team can respond and manage your inquiry. Venues determine their own follow-up practices and may have separate privacy policies. We may also disclose information when legally required or necessary to investigate abuse, protect rights, or secure the service.
5. Google user data and Limited Use
Our use and transfer of information received from Google APIs are subject to the Google API Services User Data Policy, including its Limited Use requirements. Google user data is used to provide the disclosed, user-facing features. We do not sell Google user data or use it for advertising, creditworthiness decisions, or training general-purpose AI models.
Transfers of Google user data are limited to providing the disclosed features with your consent, security purposes, compliance with applicable law, or a business transfer with your prior explicit consent, as permitted by Google’s policy. Human access to Google user data is limited to your affirmative permission for specific data, necessary security or legal purposes, or permitted aggregated internal operations. These restrictions also apply to information derived from Google data.
6. Storage and retention
Account, venue, conversation, and imported booking records are stored through the app’s service providers. We retain information for as long as needed to provide the relevant service and support venue operations, unless deletion is requested or required. Some information may need to be retained for legal obligations, security, dispute resolution, or backup recovery. Retention depends on the type of information and the purpose; we do not promise that all records are automatically erased after a fixed period.
The planner also stores a copy of chat context in your browser to let you resume a conversation. The app treats that copy as expired after approximately 24 hours when it checks it again; this does not mean the corresponding server-side conversation is deleted. You can clear your browser’s site data to remove local copies.
7. Disconnecting Google and deleting information
You can disconnect your calendar in the app’s venue settings under Google Calendar. You can also revoke access through your Google Account connections. Revocation stops future authorized access but does not automatically remove booking records already imported into My Virtual Planner, copies held by a venue, or information separately submitted in a conversation.
To request deletion of your account, imported Google Calendar data, or other personal information, email hello@idealbrides.co. Include the account email and venue involved, and describe what you want deleted; do not send passwords or access tokens. We may verify your identity and authority before acting. For records managed by a venue, we may coordinate with the venue. If a legal exception prevents deletion, we will explain the applicable limitation. Disconnect Google as well if you do not want a later synchronization to import information again.
8. Your choices and rights
You may choose not to connect Google Calendar or provide optional information. Depending on where you live and applicable law, you may have rights to access, correct, delete, receive a copy of, restrict, or object to processing of your personal information, or withdraw consent. Send requests to the contact below. You may also contact your local privacy regulator. Withdrawing consent does not undo processing that occurred before withdrawal.
9. Security and international processing
We use HTTPS and platform-provided account and access controls to help protect information. No system is completely secure. Service providers may process information in countries other than your own, where laws may differ. We remain responsible for handling information in accordance with applicable requirements.
10. Children and changes to this policy
The service is intended for adults planning events and venue businesses, and is not directed to children under 13. Contact us if you believe a child has provided personal information. We may update this policy as the service changes and will revise its effective date. For materially new uses of Google data, we will provide notice and obtain consent where required before using it in that way.
